Job Purpose:
Human Resources administrative function in the organisation for the HR Department.

Duties and Responsibilities:
Interpersonal Factor
- As a professional all services delivered needs to be in line with the Cancercare values, of CARE. Each task needs to be consistently executed whilst at all times displaying a positive influence on all stakeholders and within the general working environment. It is expected from the employee to deliver all tasks reflecting a willingness to operate outside the scope of the job description as per operational requirements. The factors below cannot therefore be reviewed in isolation.

HR General Administration (Primary function)
- All electronic filing of new employee packs and all adhoc filing
- Send out HR related information to staff members (accumulative leave balance letters, Provident Fund Benefit statements, Salary increase letters)
- Minute taking of HR Meetings
- Provide staff members with confirmation of employment letters
- Provide staff members with certificate of service letters
- Capture all disciplinary records on SAGE.
- Updating and standardising all HR documents.
- Schedule all HR meeting.
Employee records
- Ensure all required documents are filed electronically and complete onboarding checklist.
Leave administration (Primary function)
- Manage employee changes on the ESS system.
- Manage all employee leave enquiries.
- Monthly leave balance report and correspondence.
- Draw up leave balance letters.
- ESS employee record maintenance as per Management request.
- Timeously action leave queries
- Send reports 3 days after roll over.
- Readily available management information
Recruitment and Selection Process (Primary function)
- Get authorization signed off by all the relevant stakeholders.
- Approved and assign the job to either the HR Practitioner or HR Manager to advertise on Direct Hire.
- Arrange and schedule interviews.
- Provide interview questionnaires and CV’s to interview panel.
- Conduct reference checks for successful applicants.
- Update monthly HR Report with recruitment stats.
- Staff requirements co-ordination.
- Interview arrangements.
- Interview process co-ordination.
- Regret unsuccessful applicants.
- Record keeping process controls in accordance with legislation.
Terminations
- Update HR Report with monthly termination stats.
- Terminations – Remove terminated employee’s file.
- Provide staff members with certificate of service letters
- Draft UI19 form
- Schedule Exit interviews.
- Record keeping and maintenance.
- Save resignation / termination letter and exit clearance form electronically and move file to termination folder)
Professional Fees
- Coordinate all annual/adhoc payments of professional society fees and indemnity insurance
- Ensure that payment schedule is confirmed by all relevant parties and approved before sending it off for payment
- Collate all proof of payments and forward on to Units.
- Liaise with professional bodies with regards to refunds, pending applications and fee updates.
- Ensure timeous payment of fees
Employee Wellness & Benefits
- Keeping staff informed through SharePoint.
- Long Service Awards Certificates.
- Ensure that staff is informed and understand their benefits.
IOD Process
- Receive all IOD notifications.
- Provide employees with applicable documentation.
- Inform employees of procedure to be followed.
- Capture IOD online on the Compeasy website.
- Follow-up on progress of claim with Compensation Commissioner.
- Ensure accurate and up to date documentation in place.
- Ensure all required information is received.
- Register claim timeously.
- Timeously follow-up and provide information required on claims.
Training and Development
- Capturing of all training records for WSP and ATR.
- Follow up on invoices.
- Maintaining of employee skills and qualifications SAGE.
- Update HR monthly report with training stats.
- Capture timeously and correct training information.
Adhoc HR Administration & Projects
- Employee Enquiries.
- Assist with quarterly newsletter and CSI initiatives.
- Any HR Projects.
- Provide admin support to the HR Team.
