Genesis Analytics is looking for a team member to join the firm as a Recruitment Assistant. The Recruitment Assistant plays an integral role in providing professional recruitment and administrative support to both the Senior Graduate Recruitment Specialist and the Senior Recruitment Specialist, and the larger Human Resources team at the firm. The Recruitment Assistant will also act as a reliable source for information both internally and externally – advising candidates and stakeholders with relevant information in line with internal processes and statutory labour relations.

The position is based in Hyde Park, Johannesburg. This team employs a hybrid working model with some days working at the office and others remotely.
Duties and Responsibilities:
Key tasks and responsibilities include but are not limited to the following:
Recruitment:
- Uploading adverts on the applicant tracking system
- First line screening of applications for review
- Tracking movement of candidates through the applicant tracking system
- High level searching of candidates on LinkedIn for various roles.
- Arrange, confirm and send out interview confirmation details together with the relevant attachments to stakeholders and candidates.
- Preparing and sending out candidate packs to panel members in preparation for interviews
- Administer case studies to send out to candidates
- Administer psychometric assessments
- Send out, collate and consolidate interview feedback forms
- Obtain relevant documentation from candidates throughout the recruitment process
- Manage inquiries received by telephone and/or email
- Manage unsolicited applications sent via email
- Draft offer letters for review
- Send out regret emails to unsuccessful candidates
- Compile appointed employee packs for handover to HR
- Provide comprehensive information to candidates both proactively and upon inquiry
- Populate graduate recruitment matrix as per necessary steps
- Populate graduate powerpoint presentation as per necessary steps
- Manage internships and fixed-term contractors by keeping track of commencement and end dates and notifying the necessary stakeholders in good time
- Update and maintain bursary and top achiever information including tracking invoices, and ensuring that monthly and other payments are done
- Training various internal stakeholders on the use of recruitment processes and systems.
General Administration:
- Process, manage and track recruitment related payments on SAGE Intacct
- Keep track of recruitment related invoices
- Manage recruitment emails
- Manage diaries, book meetings.
- Keeping track of candidate folders and regularly updating with most recent employee documents
- Conduct integrity and verification checks through systems including MIE
Requirements:
- Bachelor’s Degree majoring in Human Resource Management or Business Administration is essential
- Previous experience in a recruitment agency or management consulting firm would be advantageous
- Ability to work independently with multiple stakeholders across different countries and thus various time zones
- Additional relevant qualifications are an advantage
- A minimum of 1 year work experience in a similar administrative role
- IT proficient and literate in the use of Microsoft office and Google Suite
- Previous experience using TA systems such as MIE, Direct Hire (ATS) (alternatively Placement Partner or similar), and Intacct, SAGE, LinkedIn and/or other related TAS software
- Excellent administrative and multitasking skills with above average attention to detail
- Excellent verbal and written communication skills – ability to communicate at all levels
- Strong relationship building skills
- Strong planning and organizational skills with the ability to prioritize
- Ability to work under pressure and tight deadlines
- Perseverance and resilience
- Sound problem solving, consulting orientation and judgement skills
- Professional and confidential approach to dealing with sensitive information – high degree of confidentiality
