Purpose:
Responsible for providing administrative support for the graduate recruitment team. Serve as a first point of contact for applicants. To ensure adherence to all policies related to the recruitment.
Experience and Qualifications:
- Minimum 0 (intern) – 2 years administration or recruitment/HR administration experience.
- Exposure to an e-Recruitment System would be advantageous
- Degree in Stats, Math’s, Data Analytics, Information Systems, Actuarial Science
Duties and Responsibilities:
Administration of Recruitment Cycle (Articles and Vacation Program):
- Receive and screen applications (manual and submitted on-line) within the parameters of defined criteria and refer qualifying candidates to the Graduate Recruitment Consultant for further action
- Receive and screen applications for the vacation work programme and refer qualifying candidates to the Graduate Recruitment Consultant for further action
- Receive and screen bursary applications within defined parameters and refer qualifying applications to the Graduate Recruitment Consultant for further action
- Maintain the careers inbox and respond to all enquiries sent to this mailbox. Communication of feedback to all candidates from the Leaply platform.
- Career services, update graduate calendar with annual events
- Adhoc projects, job shadowing, administer and facilitate job shadowing projects as and when required
Planning & Co-ordination:
- Assist with the planning and execution of Graduate Recruitment events (selection days, vac work, job shadowing, campus drives/showcases, high touch events, cocktail functions etc.)
- Attending to all the logistical arrangements relating to Graduate Recruitment events e.g. boardroom bookings, catering, setting up meetings with participants (internal & external), booking flights, accommodation, car hire etc.
- Booking all travel and accommodation requirements for career fairs, selection days and vacation programmes
- Ordering marketing collateral for Graduate Recruitment events and sending off to respective universities prior to career fairs or showcases
- Ensure that all logistical arrangements comply with the firm’s internal standards and are cost effective
- Facilitate the delivery of gifts to all candidates ahead of recruitment events
- Collating feedback on candidates from Selection Day or Vacation programme and keep on record.
Bursary Candidates & Job Shadowing:
- Maintain database of bursary candidates with all relevant information pertaining to the bursary agreement
- Facilitate and coordinate job shadowing programme for referred candidates.
- Facilitate and coordinate all school related events (AEC/ SSP/ Hilton Boys/ Take a girl child to work)
Document Generation:
- Drafting, amending and formatting general correspondence and documents, paying attention to detail and ensuring good spelling/grammar/punctuation attention to detail and ensuring good spelling/grammar/punctuation
- Preparing presentations and reports as required by the Graduate Recruitment Manager
- Knowledge of and adherence to ‘in-house’ styles to maintain standardization, consistency and compliance with prescribed formats, if applicable
- Prepare letters of appointment and dummy payslips for successful candidates post decisions made on vacation programme and selection day
Data Reporting:
- Collate recruitment data from Leaply for the GRM
- Deliver reports and impactful insights and trends in the graduate recruitment & development space
- Automate tasks through appropriate tools
Finance Administration:
- Receive and process invoices for external suppliers and bursary candidates timeously
- Timeous response to payment queries, and sending proof of payments where required
General Administration:
- Attend to travel and accommodation arrangements for candidates, where required
- Attend to queries from candidates
- Prepare schedules and/or reports where required
- Prepare and process cheque requisitions and payments for approval
- Filing, photocopying, faxing, archiving etc.
- Adhoc project involvement where necessary
Relationship Building:
- Develop and maintain relationships with all levels of staff as a trusted resource.
- Maintain strong working relationships with and have open and transparent communication between all members of the team
- Develop and maintain relationships with vendors to ensure quality of service delivery
